5. Groundhogg Contact Records and Email

We use Groundhogg within WordPress to manage contact records, form submissions, tags, project stages, partner records, email automation, confirmations, notifications, and follow-up communications.

Transactional and service-related emails may be sent when necessary to respond to your request, administer a purchased service, document a payment, complete an agreement, or communicate about an active project.

Marketing communications are optional. When a form provides a separate marketing-consent choice, declining that choice does not prevent necessary service, payment, security, or project communications.

Marketing emails include an unsubscribe mechanism where required. Unsubscribing from marketing does not prevent essential transactional or contractual communications.

6. Publishing Files and Document Uploads

Publishing forms may allow you to upload manuscripts, supplemental documents, cover images, agreements, or other files. These materials may contain personal, confidential, copyrighted, or proprietary information.

Upload only the information needed for your project. Do not include passwords, payment-card information, bank-account numbers, routing numbers, Social Security numbers, or full tax identification numbers in a manuscript or general upload field.

We use uploaded files to evaluate, administer, format, produce, and complete the requested publishing services. Access is limited to the Company and service providers or contractors reasonably necessary to perform the work.

You are responsible for ensuring that you have the authority to submit and authorize the use of every uploaded file.

7. Payments and Stripe

Publishing-package and other authorized payments may be processed by Stripe. Payment-card information is entered into Stripe’s secure checkout environment and is not intended to be stored directly on this website.

We may receive and retain payment-related information such as:

  • customer name and email address;
  • selected product or service;
  • amount paid;
  • payment status;
  • transaction or checkout-session identifier;
  • payment date; and
  • limited payment-method information supplied by Stripe.

14. RGV Road to Recovery IA and Related Organizations

SS Eisenhauer Enterprises LLC is a privately owned company. RGV Road to Recovery IA is a separately operated nonprofit organization.

Information submitted through an SSEE form is maintained as an SSEE business record unless the form expressly states that the information is being submitted to another organization.

Visiting a linked organization or submitting information directly to that organization subjects the information to that organization’s own privacy practices.

SSEE does not automatically combine publishing-customer financial records with the financial records of RGV Road to Recovery IA or other independently operated entities.

15. Information Retention

We retain information only as long as reasonably necessary for the purpose for which it was collected, to complete services, maintain business and financial records, resolve disputes, enforce agreements, preserve project history, and comply with legal obligations.

Publishing records

Publishing project records, approvals, agreements, payment records, production files, and related communications may be retained for the duration of the project and for a reasonable archival period afterward. Records needed for tax, accounting, contract, copyright, ISBN, or legal purposes may be retained longer.

Institutional Outreach Partner records

Pending partner information may be removed when activation is not completed within the stated activation period. Approved partner, agreement, payment, attribution, and program records may be retained while the relationship remains active and for a reasonable period afterward.

Contact and marketing records

Contact records may be retained while needed to respond to a request, administer an active relationship, maintain consent records, or honor an unsubscribe request.

Backup copies may remain temporarily in protected backup systems after information is removed from active systems.
